People & Payroll Administrator UK & Ireland
About the role
Reporting to the People & Culture Director North, the purpose of this role is to provide full HR administrative & payroll support to UK Retail Store Managers and Managers in HQ.
Responsibilities:
Employment Administration
- Manage full employee lifecycle documentation including contracts, visa checks, and personnel files.
- Process starter and leaver documentation, maintaining accurate electronic and paper records.
- Coordinate new hire onboarding, including system access and equipment setup via Jira.
- Handle reference requests and exit interview coordination.
- Maintain organisational charts and employee data across all HR systems.
Payroll & Benefits
- Process UK and Ireland payroll, working with Leaders and external providers to meet deadlines.
- Manage the processing of annual pay reviews, bonus payments, and related communications.
- Administer pension schemes through AVIVA, ensuring accurate deductions and payments.
- Oversee employee benefits platform and rewards website.
Systems & Data Management
- Maintain data integrity across multiple platforms: HRIS, payroll, scheduling, employee survey and benefits systems.
- Ensure leaders are correctly set up and have the right access levels for our HR systems.
- Conduct regular system audits and resolve data discrepancies.
- Generate periodic HR reports including absence, FTE, and sick leave analytics.
- Ensure data protection and confidentiality standards are met.
- Train new Leaders on how to use relevant systems and the GANT system processes.
Recruitment Support
- Assist with job posting management on internal/external platforms.
- Configure and maintain candidate management system workflows.
Additional Duties
- Provide reception coverage when needed.
- Support ad-hoc HR projects and maintain department organization.
- - Monitor and report on employee absence and annual leave
- Support training event organisation and materials preparation.

Profile
Required:
- Strong administration and organisation skills
- Basic knowledge of UK & Irish HR & Payroll legislation (2 years experience of working within HR)
- CIPD Level 3
- Strong attention to detail
- Proactive and able to multitask.
- Excellent Excel & Word skills; PowerPoint skills
- Excellent communication and confidentiality awareness
- Experience with HR systems and data management
- Ability to meet deadlines and manage multiple priorities.
- Excellent interpersonal skills, with calm approach to problem solving.
- Good numeracy and literacy
- Must enjoy the challenges of pace and fast thinking that an innovative retail environment brings.
Desirable:
- Ideally some experience of working in fashion retail.
- Basic knowledge of Irish employment law
