People & Talent Junior Administrator

Position: People & Talent   Administrator

Location: Hybrid – initially this will be 3 days in London Office, and 2 days working remotely

Hours: – 37.5 hours per week, core hours to be agreed – flexibility will be offered in line with your personal needs

Salary: up to £30.000 per annum  per annum depending on experience

Reports to: Head of People &Talent  & Learning &Development Manager

About the Role

We are seeking a highly motivated,  detail-oriented and proactive Administrative Assistant to join our dynamic and high performing People Team. The successful candidate will play a crucial role in supporting our People Team, ensuring an exceptional employee experience, and maintaining a smooth administrative processes.

Key Responsibilities

  1. Onboarding and Induction
  • Process new starter documentation, including for managerial positions, ensuring accuracy and compliance with company policies.
  • Verify that all new hires have completed and submitted the required paperwork, promptly communicating any discrepancies to the relevant line manager.
  • Support the onboarding experience by arranging welcome cards and ensuring new employees feel valued from day one.

 

  1. Employee Engagement Initiatives
  • Coordinate and distribute birthday cards to employees, fostering a culture of appreciation and celebration.
  • Manage the Foodies Values recognition scheme database, celebrating nominations with posts on our company engagement portal Yapster, and sending handwritten cards and tokens of appreciation to those nominated
  •  Highlighting on Yapster our other company benefits, ensuring employees are informed and supported.

  1. Training and Development Support
  • Communicate and update training statistics, maintaining accurate records of employee development progress.
  • Liaise with booking co-ordinators when organising location and catering for training.

 

  1. General People Administration
  • Maintain accurate and organised employee records, ensuring confidentiality and adherence to data protection regulations.
  • Provide administrative support to the People Team on various projects and initiatives as required.
  • Supporting the Junior People Advisor with the preparation of formal letters
  • Providing support to the Operational Team with note taking at Pele related meetings
  • Co-hosting the weekly company training calls each Friday ensuring a smooth experience for host and delegates


Skills and Competencies

  • Strong attention to detail.

·        Strong administration and organisational skills particularly during times of demanding workload, with the ability to manage multiple tasks and adapt to changing priorities

  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint).
  • Familiarity with diary management including the use of Microsoft Teams
  • A proactive and enthusiastic approach to work, with a focus on delivering a positive employee experience.
  • A keen appetite for personal and professional development in the People & Talent field.


Qualifications and Experience

  • Administration qualification at level 3 is desirable
  • CIPD qualification or an interest in working towards CIPD qualification at level 3 is desirable

·        CIPD qualification or an interest in working towards CIPD qualification

  • Previous experience in an administrative or People (HR) support role is desirable.
  • Previous experience of the hospitality industry (preferably within foodservice/contract catering) is desirable
  • A keen interest in people, culture and employee engagement initiatives.

Familiarity with HR systems and processes is an advantage.
