People & Culture Administrator

Your Team
You’ll be working within the People & Culture Team and directly reporting to the Head of People & Culture.
Your Responsibilities
- To provide an effective HR transactional service relating aspects of the employment lifecycle, including; recruitment, onboarding and offboarding, issuing contracts, changes to terms and conditions of employment, administration of employee benefits and issuing letters
- Responsible for undertaking all pre-employments checks such as references, Rights to Work, qualifications, DBS checks and Driving Licence, MOT and insurance records
- Responsible for all overseeing to the end-to-end recruitment process, to include; auditing job requestions, raising job adverts on our ATS and social media/networking platforms, monitoring recruitment campaigns and ensuring jobs progress efficiently through the recruitment pipeline.
- To manage the shared People & Culture/L&D Mailbox and be the first point of contact for advising and assisting with day-to-day people matters relating to policy, employment contracts, starters, leavers and change of terms; escalating more complex matters to the People & Culture Advisor/L&D Manager
- Responsible for maintaining accurate employee records on all HR systems and ensuring that data is stored and archived in accordance with Horizon's Data Retention Policy
- Be the first point of contact for advising and assisting with day-to-day people matters relating to policy, employment contracts, starters, leavers and change of terms
- Provide a high level of customer service to all employees, taking a proactive approach to all queries ensuring that they are followed up and closed or escalated to the People & Culture Advisor as appropriate
- Maintain accurate employee records on all HR systems and be responsible for ensuring employee records are archived and stored in accordance with Horizons Data Retention Policy
- Responsible for running weekly and monthly reports and producing the monthly People Pack
- Ensure that accurate payroll instructions are prepared and logged on the HR Tracker in time for the monthly payroll
- Provide note taking support as required
- Be an ambassador for GDPR protocols
- Support with L&D administration, including our onboarding process, booking forms, attendee lists, calendars, invitations and surveys
- Responsible for all pre-course administration, providing pre-course confirmation, and assisting with the setup of training courses and materials
- Responsible for all post-course administration, including collating feedback data, producing course certificates, and updating relevant records
- Support with maintaining accurate training records, including qualifications, certificates and renewals
- Monitor external training courses, including issuing training agreements, monitoring course completion and feedback along with updating records
- Work with the L&D Manager to administer our Work Experience programme by managing requests and coordinating with departments, schools, and colleges
- Support the L&D Manager in planning, marketing and implementation of L&D projects, initiatives and events
